Refund Policy

At United Nations University (UNU), we are committed to providing clarity and fairness regarding our refund policy. This policy outlines the procedures and conditions under which refunds are issued for tuition, fees, and other expenses related to enrollment.

Tuition Refunds

1. Full Refund:
  • Students who withdraw from a program within the first two weeks of the semester are eligible for a full refund of tuition fees. This applies to withdrawals made prior to the start of classes.
2. Partial Refund:
  • Students who withdraw between the third and sixth week of the semester are eligible for a partial refund of tuition fees. The amount refunded will be calculated based on the proportion of the semester completed.
3. No Refund:
  • Students who withdraw after the sixth week of the semester are not eligible for a tuition refund.

Fees Refunds

1. Application Fees:
  • Application fees are non-refundable under any circumstances. These fees cover administrative costs associated with processing applications.
2. Enrollment Fees:
  • Enrollment fees are refundable if the student withdraws before the start of the semester. After the semester has begun, enrollment fees are non-refundable.
3. Other Fees:
  • Any additional fees (e.g., laboratory fees, library fees, etc.) will be refunded on a case-by-case basis, depending on the timing of the withdrawal and the specific nature of the fees.

Refund Procedure

  1. Requesting a Refund:
    • To request a refund, students must submit a written request to the Office of Student Services. The request should include the reason for withdrawal and supporting documentation, if applicable.
  2. Processing Time:
    • Refund requests will be processed within 30 days of receipt. The refund will be issued through the original payment method whenever possible.
  3. Appeals:
    • If a student disagrees with the refund decision, they may appeal the decision by submitting a written appeal to the Refund Appeals Committee. The committee’s decision will be final.

Special Circumstances

1. Medical Withdrawals:
  • Students who withdraw due to medical reasons may be eligible for a prorated refund of tuition and fees. Documentation from a licensed healthcare provider will be required.
2. Military Service:
  • Students who are called to active military service may be eligible for a full refund of tuition and fees. Proof of military service is required.
3. Program Cancellations:
  • In the unlikely event that a program is canceled by UNU, students will receive a full refund of all tuition and fees associated with the canceled program.

Refund Policy for Events

Cancellation notices (e.g., in cases of sickness, lack of funding, or any other personal reasons) must be submitted in writing via email to the respective conference secretary. The notification must include all relevant information regarding the bank account for a potential refund (including IBAN and BIC). Cancellations will only be considered effective once a written acknowledgment from the conference secretary is received.

Due to advance payments for venues, printing, shipping, hotels, transportation, travel and other overhead costs, refunds will be issued as follows:

Written Cancellations Received:

  • More than 60 days before the conference: 75% refund
  • Between 60 and 30 days before the conference: 50% refund
  • Within 30 days of the conference: 25%
  • In the event of Airlines, Hotel and any other bookings made by us on behalf of you, the rules and regulations are applicable as per the guidelines of the Airlines, Hotels etc)
  • E-Poster & Video Presentations: Non-refundable

A standard administrative fee of US$100 will be deducted from all refunds. The venue and location of events may change in the event of an exigency. For international refunds, the registrant is responsible for standard currency conversion rates and any applicable bank charges.

Refunds will be processed after the conference/summit. In cases of excess payment or double payment, refund requests must be submitted in writing to the conference secretary. The date of receipt of the cancellation email will determine eligibility for a refund.

No refunds will be granted for unattended summits, cancellations of speakers, lack of space in the conference/summit room, or any other incidents beyond the control of the conference/summit organizers. By registering for the conference/summit, participants agree that neither the organizing committee nor the conference/summit assume any liability whatsoever.

Refund Methods:

  • For payments made by credit or debit cards, the same card will be refunded.
  • For all other payments, a bank transfer will be made to the payee’s nominated account, with all bank charges borne by the registrant.

Note: In the case of a Travel VISA refusal, the paid amount may be transferred to another conference of your choice. Participants who received discounts on registration fees are not eligible for refunds unless the event is canceled.

Cancellation/Postponement of Conference/Summit

If the congress cannot be held or is postponed due to circumstances beyond the control of the conference/summit organizers, or due to events not attributable to wrongful intent or gross negligence of the organizers, a 100% refund of the registration fee will be issued. However, the organizers will not be liable for any damages, costs, or losses incurred, such as transportation costs, flight booking cancellation charges, accommodation costs, or financial losses.
